1Who we are
PestAll Services (Pty) Ltd is a private pest control company incorporated in the Republic of South Africa (registration number 2025/980224/07), based in Port Elizabeth. We provide pest control, fumigation, wood borer treatment and Certificate of Compliance services, rodent control, hygiene services, and related pest management across the Nelson Mandela Bay region.
In this policy "PestAll", "we", "us" and "our" refer to PestAll Services (Pty) Ltd. "You" refers to any person whose personal information we hold — typically residential customers, commercial clients, body corporates, letting agents, attorneys receiving Certificates of Compliance, and visitors to this website.
PestAll is the Responsible Party for the personal information described below, as that term is defined in POPIA.
2Information Officer
Our designated Information Officer under POPIA is Romeo De Jager, the Director of PestAll Services. All queries, access requests, correction requests, deletion requests and complaints relating to your personal information should be directed to him.
The Information Officer is registered with the Information Regulator of South Africa. We will respond to any request within 30 days.
3What information we collect
We collect only the information necessary to quote, schedule, perform, document and invoice the specific pest control service you have requested. Here is what that looks like in practice:
3.1 Information you give us
- Name — to address you, reference the job file, and name the Certificate of Compliance where one is issued.
- Phone number — to call or WhatsApp you back, confirm the appointment time, and reach you on the day of treatment for access or re-entry queries.
- Email address — to send the written quote, the service report, the invoice, and the Certificate of Compliance (for wood borer jobs).
- Property address — to confirm we operate in your area, dispatch the correct technician, and record the property on the Certificate of Compliance. For wood borer Certificates of Compliance, the property address is a required field on the official document and is forwarded to the attorney handling your property transfer when instructed.
- Service description — what pest you are dealing with and where, so we can arrive with the correct equipment and products. For fumigation jobs, this includes the type and volume of the commodity, container or space being treated.
- Payment details — bank reference and proof of payment for our accounting records.
3.2 Information we generate during the job
When we carry out a treatment, we create records we are required to keep for safety, legal, and warranty purposes:
- Treatment report — the date, time, site address, pest species treated, products applied (trade name, active ingredient, concentration and volume), application method, and technician details. This is issued to you after every visit and kept on our file.
- Chemical application record — the specific pesticides, fumigants or baits used at your property, including the re-entry period. We keep this so we can advise you on safety if you call later, and to comply with pesticide record-keeping requirements.
- Certificate of Compliance — for wood borer treatments: the property address, treatment date, products used, technician certification number, and the 90-day guarantee period. This document is retained on our file for the reasons explained in Section 8.
- Day-14 follow-up record — our standard protocol requires a return visit two weeks after treatment to verify outcome. We record the result of this inspection.
3.3 Information collected automatically by the website
- Server and hosting logs — your IP address, browser type, and page-access timestamps, retained by our hosting provider (Vercel Inc., USA) for security and abuse-prevention. We do not link these to your identity.
- Cookies — this website sets no tracking, advertising or analytics cookies. Our hosting provider may set strictly-necessary security cookies. If we add analytics in future, we will ask for your consent first via a cookie notice.
4Why we collect it
Every piece of information listed above has a specific reason:
- To respond to your enquiry and provide you with a written quote.
- To schedule a site visit and dispatch the right technician to your address.
- To carry out the pest control, fumigation, wood borer, rodent, hygiene or other service you have asked for — safely and correctly.
- To issue you with a written treatment report after every visit, as part of our standard procedure.
- To issue a Wood Borer Certificate of Compliance and forward it to your attorney when a property transfer is involved — this is often what unblocks a bond condition.
- To honour the 90-day guarantee stated on our invoices — we need to know what was treated, with what, and on which date.
- To contact you for the day-14 follow-up inspection that is part of our standard four-step process.
- To issue quotes and invoices and to keep the accounting records required by the Companies Act, the Tax Administration Act, and SARS.
- To comply with pesticide application record-keeping requirements under the Fertilizers, Farm Feeds, Agricultural Remedies and Stock Remedies Act (Act 36 of 1947).
- To defend ourselves in the event of a warranty claim, insurance query, or legal dispute relating to a treatment we carried out.
We will not use your information for unsolicited marketing or any new purpose without obtaining your consent first (see Section 9).
5Legal basis for processing
We process your personal information on one or more of the following lawful grounds under Section 11 of POPIA:
- Consent — when you complete the contact form on our website, accept a quote, or otherwise voluntarily provide your details to request a service.
- Performance of a contract — to carry out the pest control service you have accepted and paid for, and to honour the guarantees that form part of that agreement.
- Legal obligation — to comply with tax, accounting, pesticide application, and Certificate of Compliance record-keeping requirements imposed by South African law.
- Legitimate interests — to operate, secure and improve our business, to handle warranty and guarantee matters, and to respond to legal claims.
6Who we share it with
We do not sell, rent or share your personal information for marketing. We share details only where it is necessary to deliver the service you asked for or to comply with the law:
- PestAll technicians and field staff — only the details needed for the job: your name, property address, phone number, pest issue, and any re-entry or access instructions. Nothing more.
- Attorneys and conveyancers — for wood borer jobs that are part of a property transfer: your name, property address, treatment date, and the Certificate of Compliance. We share this only when you or your attorney specifically requests it to satisfy a bond condition.
- Our form-handling provider — Formspree Inc. (USA), which receives your website enquiry and forwards it to our inbox. Formspree does not store or use your data beyond delivery.
- Our hosting provider — Vercel Inc. (USA), which stores and delivers this website. Vercel does not access the content of form submissions.
- Our email provider — Google Workspace (Google LLC, USA), which hosts our @pestall.co.za inboxes.
- Our invoicing and quoting software — used by our accounts team (reachable at accounts@pestall.co.za) to generate quotes, invoices, and service reports. Access is limited to PestAll staff.
- Regulators, auditors, courts and law enforcement — where we are legally required to disclose information, for example in response to a SARS audit or a court order.
Each third-party provider that handles your data on our behalf is bound by a written agreement (or their standard terms, where a bespoke agreement is not possible) to process your information only as required and to protect it at a standard equivalent to ours.
7Cross-border transfers
Formspree, Vercel and Google store data on servers located outside South Africa, principally in the United States and the European Union. Under Section 72 of POPIA we ensure that any such transfer is subject to binding contractual protections that uphold a level of protection substantially similar to POPIA. By submitting the contact form you consent to this cross-border transfer for the purposes described in Section 4. Your job file, treatment reports, invoices, and Certificates of Compliance are retained on South African systems.
8How long we keep it
Retention periods are set by what the law requires and by how long we may need the record to stand behind our work:
- Enquiries that do not become jobs — deleted within 12 months of last contact.
- Customer records, quotes and invoices — retained for 5 years from the end of the financial year in which the job was completed, as required by the Tax Administration Act. Then deleted or anonymised.
- Treatment reports and chemical application records — retained for 5 years. These records are required under pesticide legislation and may be needed if you have a re-entry question, a guarantee claim, or an inquiry from an environmental health officer.
- Wood Borer Certificates of Compliance — retained for 7 years. Property transfer documents can resurface years after a sale — a future owner's attorney or bond originator may query the certificate. We keep the file so we can respond without asking you to locate a document from the original transaction.
- Email correspondence — retained for as long as commercially reasonable, then archived or deleted. Correspondence attached to an open guarantee or disputed invoice is kept until the matter is resolved.
9Direct marketing
We do not send unsolicited marketing. If we wish to send you a newsletter, seasonal reminder or promotional offer in future, we will ask for your explicit opt-in consent before we do, in line with Section 69 of POPIA. Every marketing message will include a clear, free unsubscribe option. Past customers who have asked to be kept informed of re-treatment windows (for example, the 90-day wood borer guarantee period) will receive that service communication only.
10How we keep it safe
We apply technical and organisational safeguards required by Section 19 of POPIA:
- HTTPS / TLS encryption on all data submitted through this website.
- Access to customer job files, treatment records and invoices is limited to PestAll staff who need it to do their job — the technician handling your property, the accounts team, and the director.
- Strong passwords and two-factor authentication on our email and accounting systems.
- Written agreements with all third-party operators requiring equivalent security standards.
- In the event of a security compromise affecting your personal information, we will notify you and the Information Regulator as required by Section 22 of POPIA.
11Your rights
Under POPIA you have the right to:
- Be notified that we hold personal information about you — this notice satisfies that right.
- Request access to your job file, treatment records, or any other personal information we hold about you.
- Request correction of inaccurate or incomplete information (for example, a wrong address on a Certificate of Compliance).
- Request deletion of your information, subject to our legal obligations to retain certain records (see Section 8).
- Object to our processing on reasonable grounds.
- Withdraw any consent you have previously given. This does not affect processing already carried out lawfully before the withdrawal.
- Lodge a complaint with the Information Regulator.

13Children
Our services are aimed at adults — homeowners, business owners, body corporate trustees and property professionals. We do not knowingly collect personal information from anyone under 18 without the consent of a parent or guardian. If you believe a child has submitted a form on this site, contact Romeo De Jager and we will delete the submission.
14Changes to this policy
We may update this policy when our services change, when we adopt a new tool or software provider, or when legislation requires it. The "Last updated" date at the top of this page shows the most recent revision. If we add analytics, change who we share data with, or make any other material change, we will notify existing customers by email before the change takes effect.
